Why a daily closing sheet matters
A sales total alone does not prove that the counter is correct. The business must also account for opening cash, returns, refunds, discounts, counter expenses, card settlements, bank transfers, customer credit and any shortage or excess.
A consistent closing routine makes unusual differences visible while the shift is still fresh in the cashier’s memory. It also protects responsible employees because each adjustment has a clear reason and supporting record.

Simple closing formula
Expected closing cash = Opening cash + cash received − cash refunds − approved cash expenses − cash removed from the drawer.
Physical cash should be counted independently and compared with the expected amount. A difference should never be hidden by changing sales or opening balances without an authorized correction.
How to use the template each day
- Stop new transactions for the cashier or shift.
- Generate the POS closing and payment-method reports.
- Count physical cash by denomination.
- Match card, bank and digital-payment totals with external records.
- Review returns, cancellations, discounts and counter expenses.
- Calculate the shortage or excess.
- Record an explanation and manager action.
- Sign and retain the closing sheet with supporting evidence.
- Lock the shift after review so old transactions cannot be changed casually.

- A card sale recorded as cash
- Incorrect change returned to a customer

Controls that make the template more effective
- Give every cashier an individual login.
- Limit returns, cancellations and price changes by permission.
- Require reasons for discounts and stock adjustments.
- Reconcile every payment method separately.
- Do not let the same person count, approve and investigate a large difference.
- Review repeated shortages by cashier, counter, time and transaction type.
- Keep closing records according to the business’s accounting and legal requirements.
